1099 Printing

Assuming all entries have been researched, updated, and verified, we are now ready to run the 1099s.When the 1099s are printed from within Business Central, Business Central only prints the vendor name, address, amounts onto a pre-printed form in a “Two Up” format. That is, it will print 2 1099s per page. The 1099-MISC, 1099-INT, 1099-DIV, 1099-NEC and 1096 Forms must be purchased or downloaded and printed from the IRS website. Prior to printing onto the pre-printed forms, a test-print can be performed on plain white paper. Completing this task would allow the user to check the line-up of the data to the pre-printed forms’ fields via placing the plain white paper over the pre-printed form and holding this “package” up to a bright light. 1099s can be printed multiple times from Business Central in order to print the various required copies – office, recipient, and IRS.

Note: Although the form alignment has been tested with various printers, minor alignment adjustments may be needed for some printers to print within the confines of the 1099 document boxes. Please allow for adequate preparation time by testing the alignment of these documents.

If the user will be uploading data through the FIRE portal (Filing Information Returns Electronically), there is no need to print a 1096 Summary document.

 

1096 Printing

If you are printing and mailing 1099s to the IRS you are required to send a 1096 summary page that displays the total number of 1099s and total amount of all 1099 being reported – which is not included in Business Central but is in the 1099 Toolkit, which make this simple.

  1. Open the Print 1096 and 1099 Form from the 1099 Toolkit Reports list.

  1. In the upper Options section:

    • Complete the required Contact Information fields.

    • In the field 1099 Form Type select the 1099 and 1096 documents you wish to print – 1099 DIV, 1099 INT, 1099 MISC, or 1099 NEC.

  2. You will probably not want to set any filters in the “Vendor” section.

  3. Click on Print or Preview if you wish to see the information. Note that you will only see the data that will print and not the form on which it will be printed.

  4. First, the 1096 will print. When the 1096 has printed, close the screen and click Print (or Preview) a second time to print the 1099s. While this is a little clumsy, limitations in Business Central offer us no other option.

  5. Processing Forms 1099 and 1096 is now complete.
