Use this page to create invoices for several leases in a single action. The lines that are available for creating invoices are charge detail lines where both the lowest level and the lease have a status of active or last billing.

Some of the default values in the header are from the General tab on the Property Lease Management Parameters page.

When this page is opened from the Lease Details page, some of the values in the header are automatically updated based on the selected lease and all lines that are available for the invoice are readily available in the list.

Zero Amounts

Invoices with a net amount are not usually created. However, if the net amount for the invoice is zero after abatement amounts are applied, the invoice is created.

Invoice Description

For sales orders and free text and vendor invoices, each billing period line on the invoice has the description text that shows the lease number, levels, charge number, and the start and end dates. For example:

USMF-00111: Default property, default floor 1, default unit 101, Service - June 1, 2019 to June 30, 2019

The text description for invoice journals is shorter (limit 60 characters) and has the description text that shows the lease number, charge number, and the start and end dates. For example: 

USMF-00111: Installation service - June 1, 2019 to June 30, 2019

Vouchers

Invoice journals that are created from the invoice creator process have separate vouchers for each charge, which facilitates the payment process. Depending on the setting of the Check the invoice number used on the Accounts Payable Parameters page, each voucher can have individual invoice numbers.

  • When Check the invoice number used is set to Accept duplicate, one invoice number is generated for each invoice journal.
  • When Check the invoice number used is any other value, one invoice number is generated for each voucher.

Create Invoice: Revenue Lease

To create invoices for lines in a revenue lease, follow these steps: 

  1. Set Lease type to Revenue.
  2. Specify the from and to Date Range of lease lines you want to review.
  3. Specify the Invoice date and select the Posting option.
  4. Choose Select to specify the criteria for the records you want to process.
    These records appear in the lines list.
  5. Select any records that you do not want to process, and select Remove.
  6. Select OK.
  7. Or if you want to create the invoices in a batch, select Batch.

    The invoices are created based on the posting option selected.

Create Invoice: Expense Lease

To create invoices for lines in an expense lease, follow these steps: 

  1. Set Lease type to Expense.
  2. For an invoice journal, specify the Invoice journal name or accept the default value.
  3. Specify the from and to Date Range of lease lines you want to review.
  4. Specify the Invoice date.
  5. The Posting option is automatically set to Create. It cannot be changed.

  6. Choose Select to specify the criteria for the records you want to process.
    These records appear in the lines list.
  7. Select any records that you do not want to process, and select Remove.
  8. Select OK.
  9. Or if you want to create the invoices in a batch, select Batch.

    The invoices are created based on the posting option selected.

Fields

This page contains the following fields: 

Field Description
Header
Lease type

Select the lease type for which you want to process: Revenue or Expense.

Invoice type

Displays the invoice type for the lease:   

  • For an expense lease select:  Invoice journal or Vendor invoice.
    When Vendor invoice is selected, all charges that are attached to the expense lease require an item.
  • For a revenue lease select: Free text or Sales order.
    When Sales order is selected, all charges that are attached to the revenue lease require an item.

The invoice type selected is based on the settings of the Property Lease Management Parameters page.

Invoice journal name

Select the invoice journal name you want to use. Required for invoice journals. The options are set up on the Property Lease Management Parameters page.

Date range Specify the from and to date range for the records that you want to appear in the list.
Invoice Options
Invoice date Specify the invoice date.
Posting option

Select the posting option for the invoices:

  • Create: Creates the invoice or journal entry transactions. When the invoices are created, invoice or journal numbers are automatically generated. When you manually post the transactions, be sure to change the automatically generated invoice or journal numbers.
  • Create and show form: Creates the invoices and then opens the page where you can review and edit the invoices before posting them. This option can be used when creating sales order invoices from leases where items are required. The sales order invoice numbers are automatically generated based on the setup.
  • Post invoice automatically: Creates the invoices and automatically posts the invoices using the default options. This option can be used when creating a sales order or free text invoices from leases. The sales order or free text invoice numbers are automatically generated based on the setup.
Journal Consolidation

The value for this option is set in PLM parameters. If “Journal consolidation” field is enabled at the Invoice creator, then the system will consolidate multiple lease charges in the same Invoice Journal.

Below conditions need to be met for consolidation:

On the Lease Level, Consolidation is enabled.

On the Lease Level, Currency is the same for all the leases.

On the Invoice Creator window, consolidation is enabled.

Print options

This option will be enabled when lease type is "revenue" and Invoicing option is Create and post automatically.

  • “Printout”, “Print invoice” and “Use print management destination” have the same behavior as the standard fields which can be found when posting a Sales order or a Free text invoice in the standards forms.

  • “Open print destination settings” will be only visible when “Invoice type” is Free text and “Use print management destination” is No.If this field is set to “Yes”, then the system, after posting the Free text invoices, will open the Print destination settings to allow the user to choose the desired option for printing the Free text invoices.

List
Lease number

Displays the lease number.

Name

Displays the name for the lease.

Cust/Vend account

For a revenue lease, displays the customer number. For an expense lease, displays the vendor number. The label that appears is based on the lease type selected.

Cust/Vend name

Displays the customer or vendor name.

Currency  

Displays the currency of the lease.

Level 1, 2, or 3 number

Displays the category level combination for the lease.

Charge number

Displays the charge number.

Name

Displays the charge name.

Start/End date

Displays the start and end dates for the billing period.

Net amount

Displays the amount that appears on the invoice. This amount is calculated as follows: charge amount - abatement.

Lease status

Displays the status of the lease.

Separate invoice

Indicates whether the charge appears as a separate line on the invoice: 

  • Selected: The charge appears as a separate line.
  • Cleared: The charge is consolidated with other lines.
Projected invoice date Displays the projected invoice date of the charge line based on the values you set up in your Billing class in your Charge Details.

Button Description
OK

Processes the invoices based on the selected posting option.

For sales order, free text, or vendor invoices, a description text containing the lease number, levels, charge number, and start and end dates is added to the line. For invoice journals, the description has a 60 character limit and has the lease number, charge number, and start and end dates. You can review the descriptions when you review the details of the lines.
