Statistical Accounts

Statistical accounts allows users to track metrics based on non-transactional data. These metrics are recorded as numerical values and can include data such as employee headcount, square footage and number of customers with overdue accounts.

Statistical Account Journal

With MEM, users can define the Entity Dimension value in MEM Multi-Entity Management Setup which will populate the caption and associated entries for the Header Entity. Since users can only select values for which they have access to in the Header Entity, this functionality supports security access to journals that are not yet registered. For example, if a user creates journal lines and hasn't yet processed them, other users won't be able to view journal lines of those entries unless they have access to the Header level entity.

The default value for the Header Entity will be derived from the user's My Settings Setup. If no value is specified, the system will default to the first available entity from the list of entities the user has access to. Users have the ability to change this value, at which point the line level entities will be changed according to the header value.

Fields

Field Description
Header Entity

The Header Entity which supports secure access to journals which have not yet been registered.

Note: The default value for the Header Entity will be derived from the user's My Settings Setup. If no value is specified, the system will default to the first available entity from the list of entities the user has access to.

Statistical Account Ledger Entries

The Statistical Account Ledger Entries page allows users to review ledger entries for different statistical accounts. With MEM, entries on this page are filtered based on the entities to which the user has access.

Once users have added lines through the Statistical Account Journal, they can proceed with registering the transaction by selecting the Register action to create ledger entries. All entries will be registered with a line entity.

Actions

Field Description
Register

Select to register the transaction and create the ledger entries.

Ledger Entries

Review ledger entries for the respective Statistical Account Number.

Process With Multiple Entities Opens the MEM Mass Batch Processing window, all displays the journal lines from the selected batch on the journal screen .

Statistical Account

The Statistical Account page allows users to create different Statistical Accounts. With MEM, the Balance field value is filtered according to the Entities to which the user has access. Therefore, the Balance on the Statistical Account page is adjusted accordingly based on the entries in the Ledger Entry for the user's account and the entities they can access.

Example

A user has two lines in the Statistical Account Journal:

  • Line 1: Entity 200, Amount 40

  • Line 2: Entity 100, Amount 30

The ledger entries for the above transactions will have two entries: one for Entity 200, and another for Entity 100.

If the user's access to Entity 200 is removed, all ledger entries will no longer be visible to users under the Statistical Account No. Additionally, the overall Balance field value on the Statistical Account page will be impacted.

Process with Multiple Entities

There is an action button named Process with Multiple Entities on this screen. When this action is triggered by the user, the window MEM Mass Batch Processing will open with all the journal lines against the selected batch on the journal screen. Also, the journal lines against the header entity which the user is not having access to will be excluded.

The below window will get opened once the Process with Multiple Entities action is triggered by the user. This is a existing MEM page for Mass Batch Processing functionality. We will extend the functionality of this page to support the Statistical Account Journal-related transactions.

Also, we will provide the user with the below-mentioned actions on this screen:

Register: This action will act similar to the register action on BC Statistical Account Journal window. It will help the user to register their journal lines to ledgers for the selected line.

Delete: The delete option will help the user to delete the selected lines for the selected batch against the entity.

Note: In other journals, additional actions are supported. For example: Post, Post&Print, Preview Posting etc. depending on the journals. All other options will be hidden, in the case of the Statistical Account Journal.
