MEM HMRC Group Setup
Use this page to set up Her Majesty's Revenue and Customs (HMRC) groups in Multi-Entity Management (MEM). A MEM HMRC group can be set up for all entities that use the same value-added tax (VAT) registration number. Each entity can belong to only one MEM HMRC group. For example:

MEM VAT Group 1 has entities 000, 100, and 200.

MEM VAT Group 2 has entities 300, 400, and 500.
Entity 000 already belongs to Group 1 and cannot be added to Group 2. If you want to move entity 000 from Group 1 to Group 2, you must manually remove entity 000 from Group 1 and then add it to Group 2.
With regard to user-entity security, if a user has access to at least one entity in a MEM HMRC group, the use will have access to all entities in that MEM HMRC group. As a result, when processing or viewing records related to VAT, the user can review records that belong to any entity within the MEM HMRC group.
Based on permissions, various users can access the read-only list of MEM HMRC groups. However, only users with administrative permission can access the card page to create or edit a MEM HMRC group.
Set Up MEM HMRC Group
To set up a MEM HMRC group, follow these steps:
- Specify a unique MEM HMRC Group name and the VAT number.
- Optionally, in the Numbering FastTab, select the number series for the HMRC group name.
- In the MEM Entity FastTab, select all entities that will use the same VAT number.
Change VAT Registration Number
The VAT registration number for a MEM HMRC group can be changed using one of the following pages:

MEM HMRC Group Setup: When changing the VAT registration number for a HMRC group from this page, the updated VAT registration number is automatically applied to all entities within the group.

MEM Entity Setup: When changing the VAT registration number on this window, certain checks are performed.
Changing the VAT Registration Number for an Entity
When changing the VAT registration number on the MEM Entity Setup window, a check for whether the entity belongs to a MEM HMRC group is performed and the VAT registration number can be updated. Review the following scenarios for updating the VAT registration number for an entity.
Entity does not belong to a group:

If the VAT registration number is unique, the VAT registration number for the entity is updated.

If the VAT registration number is the same as one of for a HMRC group, the entity is added to the group and the VAT registration number for the entity is updated.

If the VAT registration number is the same as one of for an individual entity, the change fails.
In this case you can use the MEM HMRC Group Setup to create a MEM HMRC group for the two entities.
Entity belongs to a MEM HMRC group:

If the VAT registration number is unique and is for the entity only, the entity is removed from the HMRC group, and the VAT registration number for the entity is updated.

If the VAT registration number change is for all entities in the HMRC group, the VAT registration number is updated for the group and all entities.

If the VAT registration number is the same as one of for an individual entity, the change fails.
In this case you can use the MEM HMRC Group Setup to remove the entity from the MEM HMRC group and then create a new MEM HMRC group for the two entities.
When the VAT registration number is edited, confirmation dialogs appear allowing you to confirm whether to execute an action.
List
Shows a read-only list of all available MEM HMRC groups. This list does not require administrative access to view the data.
General
The following field boxes are available:
Field | Description |
MEM HMRC Group | Specify a unique name for the MEM HMRC group. |
MEM HMRC Group VAT number | Specify the VAT registration number for the MEM HMRC group. When this value is empty, the VAT registration number for the company is used. |
Numbering
Set up the number series to be used for VAT entries or records for the MEM HMRC group. Number series can be set up for the following:

New VAT entries or records
-
VAT return period records
-
VAT return records
If no number series is specified, the default value from the Microsoft Dynamics 365 Business Central Setup page is used. Number series is a standard feature in Microsoft Dynamics 365 Business Central and must be set up before you can use the number series-entity feature. For more information, see the article Create Number Series . If the number series are not set up, an error message appears when creating a transaction.
MEM Entity
Use this FastTab to select all the entities that use the same VAT number to be included in the MEM HMRC group.
