MEM Entity Setup

Use this page to set up Multi-Entity Management details for the entity dimension values. You can access this page in various ways, including: 

  • From the Multi-Entity Management Setup page, select the MEM Entity Setup action.
  • From the search, type MEM Entity Setup to view the Dimension Values page. Then select a dimension value from the list and select MEM Entity Setup.
  • From the Dimensions page:
    1. Open the Dimensions page.
    2. Select the global dimension that is set up as the Entity Dimension and select Dimension > Dimension Values.
    3. The entity dimension is set up on the Multi-Entity Management Setup page is already setup.

    4. From the Dimension Values page, select a dimension value from the list and select MEM Entity Setup.

Set Up Entity Details for a Dimension Value

Before setting up the entity details for a dimension value, ensure that the Entity Dimension on the Multi-Entity Management Setup page is already setup.

  1. On the Dimensions page to and select the global dimension that is used as the entity dimension, and select Dimension > Dimension Values.
  2. On the Dimensions Values page, select New to create a dimension value (which is an entity), and specify the Code, Name, and Dimension Value Type.
    Or select an existing dimension value (or entity).
  3. Select Actions > Functions > MEM Entity Setup.
  4. On the MEM Entity Setup page, do the following: 
    1. In the General FastTab, specify the Legal Name and Tax Registration Number and other values as needed.
      For 1099 reporting, specify the Federal ID No.
      If Federal Id No. is specified and the Entity Fields on Electronic Payments option is enabled on the Multi-Entity Management Setup page, this number will be used for electronic payments, instead of from the Company Information page.
      To use a logo for the entity, select an image file for Picture (logo).
    2. Specify addresses for Billing Information and Shipping Information FastTabs.
    3. In Payments, select the default bank account for the entity.
      This setting is used when decentralized payments are used on the Payment Journals page.
    4. If you want to automatically assign a number series for transactions, specify number series to use in the corresponding Number Series FastTab.
    5. Complete other FastTabs as needed.
    6. Close the page to return to the Dimensions Values page.
  5. On the Dimensions Values page, you can select any other entities to edit as described in the previous step.
  6. Close the page to return to the Dimensions page.
  7. Close the Dimensions page.

Entity List

When you search for and then select MEM Entity Setup, the list of all available entities appears. The list of entity shows the entity code and name and the dimension value setting. From the list you can specify values for the following: 

Field Description
Totaling Select an account interval or a list of account numbers for the entity. The entries of the account are totaled to give a total balance. How entries are totaled depends on the value in the Account Type field. This field box is a standard feature in Microsoft Dynamics 365 Business Central. For more information, see Working with Dimensions.
Blocked Indicates whether records or the transaction itself that belongs to the entity are blocked from being posted. For example, when this option is turned on for an entity, any transactions that use records (customer, vendor, items) belonging to this entity cannot be processed. Or any transaction that uses the entity in its header cannot be processed.
Exclude in Consolidation Indicates whether to exclude records that belong to the entity from consolidation when consolidating financial data from multiple Business Central companies. When this option is turned on for an entity, any amounts that belong to the entity are not included in the financial data being consolidated. This setting must be marked in the source company of the consolidation. VAT Registration No. Specify the VAT number for the entity. When this value is empty, the VAT registration number for the company is used. For information about changing this value, see MEM HMRC Group Setup.
Avalara AvaTax
AvaTax - Company Code Specify the AvaTax Company Code. The transaction's tax goes to its entity's AvaTax company.

General

The following field boxes are available: 

Field Description
Legal Name

Specify the legal name for the entity.

Tax Registration Number

Specify the tax registration number for the entity.

No longer available by default in the US and MX regions. You can still customize your MEM environment so that this field is available.

Picture (logo)

Specify the location of the image file that you want to use for the logo for the entity. The following image types are supported:

  • Graphics Interchange Format (GIF)
  • Tagged Image File Format (TIFF)
  • Windows bitmap (BMP)
  • Joint Photographic Experts Group (JPEG)
  • Portable Network Graphics (PNG)

Tip: As a best practice, use a logo with maximum dimensions of 690 x 425. Images that have smaller dimensions will appear on the report as expected. However, images that have larger dimensions may not appear on the report. After adding the logo, print a test invoice to ensure that the logo appears on the report as expected.

Federal ID No.

Select the Federal ID number to associate with the entity. This number is printed on 1099 statements.

If Federal Id No. is specified and the Entity Fields on Electronic Payments option is enabled on the Multi-Entity Management Setup page, this number will be used for electronic payments, instead of from the Company Information page.

Only available in the NA region. You can still customize your MEM environment so that this field is available.

Email Specify the general email address for the entity.
Home Page Specify the website address for the entity.

Billing Information

The following field boxes are available: 

Field Description
Billing Address/Billing Address 2 Specify the billing address for the entity.
Billing City Specify the city for the billing address.
Billing State Specify the state or province for the billing address.
Billing Zipcode Specify the zip code or postal code for the billing address.
Billing Country Specify the country for the billing address.
Billing Contact Name Specify the name of the contact person for the billing address.
Billing Phone Number Specify the telephone number for the billing address.

Registration (Australia)

The following field boxes are available: 

Field Description
ABN

Specify a valid Australian Business Number (ABN). The same ABN number can be used for multiple entities.

The ABN is a unique 11-digit number that identifies a business to the government and community. ABNs are issued by the Australian government . For more information, see Applying for an ABN .

Only available in AU/NZ regions.

Shipping Information

The following field boxes are available: 

Field Description
Shipping Address/Shipping Address 2 Specify the shipping address for the entity.
Shipping City Specify the city for the shipping address.
Shipping State Specify the state or province for the shipping address.
Shipping Zipcode Specify the zip code or postal code for the shipping address.
Shipping Country Specify the country for the shipping address.
Shipping Contact Name Specify the name of the contact person for the shipping address.
Shipping Phone Number Specify the telephone number for the shipping address.

Payments

The following field boxes are available: 

Field Description
Bank Account No.

Specify the default bank account for the entity.

This setting is used when Decentralized option is selected on the Payment Journals page.

Number Series

Use the FastTabs to set up the number series to be used by the different transaction types for the entity. The number series are required when using the number series security feature on the Multi-Entity Management Setup.

If you do not specify a number series for a transaction type, the default value from the Microsoft Dynamics 365 Business Central Setup page is used when transactions are created.

Number series is a standard feature in Microsoft Dynamics 365 Business Central and must be set up before you can use the number series-entity feature. For more information, see the article Create Number Series . If the number series are not set up, an error message appears when creating a transaction.

Currently, you can use the number series with Multi-Entity Management for the following areas: 

  • Sales
  • Purchase
  • Service
  • Manufacturing
  • Assembly
  • VAT (United Kingdom)

Intercompany Information

The following field boxes are available: 

Field Description
Intercompany Customer

Select the customer for intercompany trade transactions. Only customer records that belong to the entity can be selected.

After intercompany trade transactions have been processed with the selected customer, this value cannot be changed.

Intercompany Vendor

Select the vendor for intercompany trade transactions. Only vendor records that belong to the entity can be selected.

After intercompany trade transactions have been processed with the selected customer, this value cannot be changed.

Intercompany Location Select the location for intercompany trade transactions. Only location records that belong to the entity can be selected.

Workflow & Approval Process

The following field boxes are available: 

Field Description
Approver ID

Opens the Approval User Setup page, where you select one user who can approve transactions for the entity. Only users who have access to the entity can be selected as an approval user.

The Approval User Setup page is a standard window in Microsoft Dynamics 365 Business Central.

User Defined Fields

Use this FastTab for creating user-defined fields for saving additional information. The user-defined fields boxes created on this page are for the specific entity and are independent from other entities. To create user-defined fields that are available for all entities, use the Multi-Entity Management Setup page. User-defined fields can be used when customizing reports.

For each user-defined field you want to add, specify the name of the field box. The following field boxes are available:

User Defined Field

If you require user-defined field boxes for saving additional information, specify the name of the field box that you want to add. The available formats for the user-defined field boxes are as follows: 

  • Text field boxes 1 to 6
  • Integer field box 7
  • Decimal field box 8
  • Boolean field  box 9
  • Date field boxes 10 to 13

Actions

The following actions are available: 

Button Description
IRS 1099 Form Box Opens the MEM 1099 Form Boxes page, where you set up the minimum 1099 reportable amounts for the entity.
Delete Picture (logo) Deletes the Picture (logo) that is set up on this page.
