MEM Entity Allocation

Use this page to set up entity allocation templates. Entity allocation templates are applied at the transaction level to allocate revenue or expenses to multiple entity accounts. The allocations are specified in percentages, where the total of all percentages must equal zero percent (0%) or have a sum less than or equal to 100%. If the template has a sum total less than 100%, the remainder is allocated to the entity assigned to the transaction.

You can create zero-allocation templates for multiple entities but leaving the percentage allocation amounts as 0%.

Note icon. Note: Currently, entity allocation templates are available for the following inventory journals only: 

  • Physical Inventory Journals (Inventory Count)
  • Physical Inventory Order (New Inventory Count)
  • Item Journal (Adjustments + / - )
  • Item Reclassification Journal (Transfer between Locations)
  • Item Revaluation Journal

Also, for sales and purchasing transactions, allocation templates are available for line the following line types: items (service or non-inventory items) and G/L accounts .

Basic Allocation Template

Review the following examples to better understand how entity allocation templates work.

Allocation template is 100%

The entity allocation TemplateA is setup as follows:

On a Journal page, you create the following transaction for entity 000:

Based on entity allocation template TemplateA, the general journal distributions are updated as follows:

Allocation template is less than 100%

The entity allocation TemplateB is setup as follows:

The percentages of this entity allocation template is less than 100%. The remaining 30% is allocated to the entity of the transaction (header level).

On a Journal page, you create the following transaction for entity 000:

Because the template amount is less than 100%, the remaining amount is allocated to the entity in the header.

Template with Allocation Dimension Values

The following example shows how the dimension values are used in an entity allocation template. The entity allocation for a template is setup as follows:

IC Trade Allocation template

The following example show how line Type, account No, dimension value used in an IC Trade Allocation template. Once you marked IC Trade Allocation in the page, the allocation template become to IC Trade Allocation template. To set dimension information, go to Line -> dimensions. Line Type can be G/L account and Item. The inventory item doesn’t work with the IC Trade Allocation template.

Create Template

To create an entity allocation template, follow these steps:

  1. From the MEM Entity Allocations list.
  2. Select New to open the MEM Entity Allocation page.
  3. In the General FastTab, specify a unique Allocation Template ID and specify a Description for the template.
  4. Mark if it’s IC Trade Allocation templates.

If marked:

  1. In the Allocation Templates Lines FastTab, for each line you want to add, do the following:
    1. Select the Entity Code.
    2. Select Type as needed.
    3. Select No. as needed.
    4. Specify the Allocation %.
    5. Specify the dimensions as needed. Select line you where you want to add dimension and select Line > Dimensions. It opens Edit Dimension Set Entries window, you can add dimension values here.

If unmarked:

  1. If needed, select up to three other Allocation Dimensions.
  2. Mark if it’s IC Trade Allocation templates. If Marked:
  3. In the Allocation Templates Lines FastTab, for each line you want to add, do the following: 
    1. Select the Entity Code.
    2. Select line type as needed.
    3. Edit the three Allocation Dimension Values as needed.
    4. specify the Allocation %.
  4. To add a line between existing lines, select the line where you want a new line and select Manage > New Line. The new line is added above the line you selected.
  5. To delete a line, select the line and select Manage > Delete Line.
    1. When you are asked to confirm the action, select Yes.
  6. To add another entity allocation template, select Create a new entry and repeat these steps.

Purchase and Sales Invoice Documents

For allocation templates used for Purchase Invoice and Sales Invoice documents, the entity codes for the allocation lines are not required for the Get Recurring Purchase Lines and Get Recurring Sales Lines actions to work with Multi-Entity Management.

Delete Template

To delete an entity allocation template, follow these steps: 

  1. In the MEM Entity Allocations list, select the line you want to delete.
  2. Select Manage > Delete.
  3. When you are asked to confirm the action, select Yes.

Copy Template

To create a copy of an existing entity allocation template, follow these steps:

  1. Open the MEM Entity Allocations list and select the template you want to copy.
  2. Select Actions > Copy Template.
  3. Specify the New Allocation Template ID, and select Actions > Copy Template

The newly copied template appears in the Entity Allocation list. You can select the entity allocation template and edit it as needed.

List Fields

This MEM Entity Allocations list contains the following fields:

Description Displays the description of the entity allocation template.
Template Name Displays the entity allocation template name.

General
Allocation Template ID

Specify a unique identifier for the entity allocation template. After you enter the identifier, you cannot change it.

Description

Specify a description for the entity allocation template.

Allocation Dimension 1, 2, 3 Select other dimensions that you want to use for the allocation. You can select up to three other dimensions for the allocation.
Allocation Template Lines
Entity Code

Select an entity. You can select only from the entities to which you have access.

Allocation Dimension Value 1, 2, 3 Select the other allocation dimension values as needed. The default values are from the header.
Allocation %

Specify the percentage to be allocated to the entity. The sum of all lines must be equal to 100%.

If you create a zero-allocation template, the sum of all lines must be zero.
