MEM User Security Setup

Use this page to set up a security relationship between a user and one or more entities. Within the MEM documentation, this relationship is referred to as user‑entity access. Choices for selecting records (e.g., item and customer) or accessing transactions is restricted based on the user-entity access set up on this page.

While a user must have access to at least one entity, you can set up a user to have access to a few entities or all entities. Only the system administrator can grant users access to entities.

User-entity access allows users to enter transactions, perform inquiries, and generate reports on only the entities to which they have access.

User-entity access works with the relationships that are set up between the master records and entities.

For example, the user UserA has access to entity 000 only. UserA can access all records that belong to entity 000 only. If a record belongs to a different entity (e.g., entity 100), UserA cannot access that record.

Security

User-entity access are relationships between users and entities that are created for data access. Relationships between master file records and entities are also created for data access. As a result, users can access data only when the users and the records have relationships with the same entity or entities.

User-entity access relationships are set up on the MEM User Security Setup page. Relationships between master file records and entities are set up on MEM Master Security page.

If you do not set any security options, then all Microsoft Dynamics 365 Business Central users are able to see all records (e.g., vendor, customer, item, transactions) in the entire database.

User-Entity Permission by Entity

To assign user access to entities by entity, follow these steps: 

  1. Open the MEM User Security Setup page.
  2. Set Direction to Entity.
  3. Under Source, select the Entity Code.
  4. From the User Security list, select the users that you want to be able to access the entity.
  5. Tip: Use the Mark All action to select all the lines from the User Security.

  6. Repeat these steps to add more user-entity access permissions.
  7. Close the page.

User-Entity Permission by User

To assign user access to entities by user record, follow these steps: 

  1. Open the MEM User Security Setup page.
  2. Set Direction to User:
  3. Under Source, select the User Name.
  4. From the User Security list, select the entities that you want the user to access.
  5. Tip: Use the Mark All action to select all the lines from the User Security.

  6. Repeat these steps to add more user-entity access permissions.
  7. Close the page.

Direction

Select the direction in which you want to assign access between the entity and the user record.

  • Entity: Enables you to assign an entity to one or more user records. When selected, you are prompted to select the entity as the source and the User Security FastTab shows a list of user records.
  • User: Enables you to assign a user record to have access to one or more entities. When selected, you are prompted to select the user record as the source and the User Security FastTab shows a list of entities.
Source

Displays a field where you select the record that you want to set up entity permission.

  • When Direction is Entity, select the Entity Code for which you want to set up user-entity access.
  • When Direction is User, select the User Name for which you want to set up user-entity access.
User Security

Displays a list of records for which you can set user-entity access.

  • When Direction is Entity, select one or more user records for which you want to set up the user-entity access.
  • When Direction is User, select one or more entities for which you want to set up the user-entity access.

Actions

This page contains the following actions: 

Action Description
Mark All Selects the check box for all lines in the list to the right.
Unmark All Clears the check box for all lines in the list on the right.
Import User Entity

Allows you to select a file for importing user-entity security settings.

The selected file must be XML formatted. For more information, see User Security Setup.

Intercompany Suite
Actions > IC Suite > Synchronize

Synchronize User Security to IC Endpoints.

As a best practice, if "Disable Auto Synchronization" is set to true, on the Intercompany FastTab of the Multi-Entity Management Setup page, when changes are made to any record on this page, run this action to ensure that all affected Intercompany Suite partners are updated as well.
