MEM Master Security

Use this page to set up entity security relationships between master file records with entities. These relationships allow organizations to restrict or "filter" user access to records in Microsoft Dynamics 365 Business Central. You can set up entity security relationships so that the master file records have relationships with one entity, a few entities, or all entities.

Entity security relationships can be set up for the following master record types: 

  • Bank Account
  • Customer
  • Fixed Asset
  • Item
  • Job
  • Location
  • Payment Method
  • Resources
  • Service Item
  • Vendor

For example, User A has access to entity 000. On this window, entity security for entity 100 is setup with CustA, CustB, and CustC. Based on these settings, UserA can create transactions for CustA, CustB, and and CustC.

As indicated in this example, when creating a transaction, the following conditions are required: 

  • The user must have access to the entity (100).
  • User-entity access is set up on the MEM User Security Setup page

  • The entity(100) must have access to the master record (CustA, CustB, or CustC).
  • Master record-entity access is set up on the MEM Master Security page

Security

User-entity access are relationships between users and entities that are created for data access. Relationships between master file records and entities are also created for data access. As a result, users can access data only when the users and the records have relationships with the same entity or entities.

User-entity access relationships are set up on the MEM User Security Setup page. Relationships between master file records and entities are set up on MEM Master Security page.

If you do not set any security options, then all Microsoft Dynamics 365 Business Central users are able to see all records (e.g., vendor, customer, item, transactions) in the entire database.

Set Up Security Relationships by Entity

To set up security relationships by an entity, follow these steps:

  1. On the Multi-Entity Management Setup page in the Security FastTab, select the data where you want to apply MEM security.
  2. Open the MEM Master Security page.
  3. Set Direction to Entity.
  4. Select type of Master Records for which you want to set up MEM security relationships.
  5. Select the Entity Code for which you want to set up MEM security relationships.
  6. In the Destination, select one or more lines for the relationship.
  7. Close the page.

Set Up Security Relationships by Master Record

To set up security relationships by a master record, follow these steps:

  1. On the Multi-Entity Management Setup page in the Security FastTab, select the data where you want to apply MEM security.
  2. Open the MEM Master Security page.
  3. Set Direction to Master.
  4. Select the type Master Record for which you want to set up MEM security relationships.
  5. In the Destination, select one or more lines for the relationship.
  6. Close the page.

After you assign an entity to the record, the change is reflected on the corresponding card when you review the record.

This page contains the following fields:

Actions
Direction

Select the direction in which you want to set the relationship between the entity and the master record.

  • Entity: Enables you to set up the relationship between an entity with one or more master records. When selected, you are prompted to select the entity, and the destination list is populated with the list of master records.
  • Master: Enables you to set up the relationship between a master record or class with one or more entities. When selected, you are prompted to select the master record and the destination list is populated with the entities.
Master Records

Select the master records for which you want to set relationships: 

  • Bank Account
  • Customer
  • Fixed Asset
  • Item
  • Job
  • Location
  • Payment Method
  • Resources
  • Service Item
  • Vendor

The master records for which you can set entity security relationships are based on security options that you selected in the Security section of the Multi-Entity Management Setup page.

Entity Code Select the entity for which you want to set up relationships. Appears when Direction is Entity.
Master Record

Select the master record for which you want to set up the relationship. Appears when Direction is Master.

For Bank Account, Fixed Asset, Project, and Location: If an entity is not already assigned to the record, the record is not available from the master record list.

Destination

Displays a list of records for which you can set the entity-record relationship: 

  • When Direction is Entity, select one or more master records for which you want to set up the relationship.
  • For Bank Account, Fixed Asset, Project, and Location: If an entity is not already assigned to the record, the record is not available in the destination list.

    Note icon. Note: If a customer, vendor, or location record is selected and the specific record is linked to an entity as an intercompany trade customer, vendor, or location, the check box cannot be cleared.

  • When Direction is Master, select one or more entities for which you want to set up the relationship.

Actions

This page contains the following actions: 

Action Description
Mark All Selects the check box for all lines in the list to the right.
Unmark All Clears the check box for all lines in the list on the right.
Import

Allows you to select a file for importing security settings for the available record types:

  • Bank Account
  • Customer
  • Fixed Asset
  • Item
  • Job
  • Location
  • Payment Method
  • Resources
  • Service Item
  • Vendor
