Assign Number Series by Entity

Use MEM to assign different number series to transactions and journals based on the selected entity. This allows each entity to maintain separate numbering sequences while operating in the same Business Central environment.

When a user creates a transaction or journal and selects an entity, MEM automatically applies the number series associated with that entity.

Workflow

Assign Number Series to Documents

Complete the following steps to assign a number series by entity.

  1. Create the required number series in Business Central.
  2. Enable No. Series Security on the MEM Setup page.
  3. Set up the number series to be used by the different transaction types for the entity on the Entity Setup page.
  4. Create a transaction.
  5. Select an entity.
  6. MEM applies the number series associated with the selected entity.

Note: You must select an entity before creating the transaction.

Example

Entity 0 uses the CAN-SALES number series and Entity 100 uses the USA-SALES number series. When users create transactions, MEM automatically assigns document numbers from the number series associated with the selected entity.

Assign Number Series to Journals

Journal numbering uses a different setup process than documents. Journal templates define default entity-specific number series assignments, while journal batches contain the configuration that is actually used when journal numbers are assigned. These values can be inherited from the journal template and modified at the journal batch level.

Complete the following steps to assign journal number series by entity:

  1. Create the required number series in Business Central.

  2. Enable No. Series Security on the MEM Setup page.

  3. Open the journal template and select MEM Entity No. Series.

  4. Assign the appropriate number series for each entity.

  5. Create or open a journal batch.

  6. Review the MEM Entity No. Series configuration on the journal batch and modify it if required.

  7. Create journal entries.

  8. Select an entity.

  9. MEM applies the number series associated with the selected entity when journal numbers are assigned.

Note: The number series configuration defined on the journal batch is the configuration that is used when journal numbers are assigned. Although a journal batch can inherit values from the journal template, changes made at the journal batch level override the inherited values.

Example

Entity 0 is assigned the FA number series and Entity 100 is assigned the BLK number series on a journal batch. When journal entries are created, MEM assigns journal numbers from the number series associated with the selected entity.
