SBS Licensed Users Setup

The Subscription Billing Licensed Users Setup window is used to define which Business Central users are licensed to access Subscription Billing features and how those users interact with Subscription Billing-managed companies.

Subscription Billing licenses are designed to align with Business Central's license structure to ensure users can easily select a license that provides them with the functionalities that best fit their needs. As a result, the total number and types of SBS licenses must match the number of assigned Business Central licenses.

Prerequisites

Ensure the following criteria is met before setting up a SBS license for a user:

  • SBS has been installed and licensed in Business Central.

  • The Business Central user already exists in Business Central>Users.

  • The user has appropriate Business Central permissions for the companies they will access.

Note: MEM does not replace Business Central security. If a user does not have permission to a company or table in Business Central, MEM will not grant that access.

Set Up a Licensed User

To add a Subscription Billing licensed user, follow these steps: 

  1. Open the Microsoft Dynamics 365 Business Central Users list to check that the users that you want to use Subscription Billing already have User Card records. These user records become available to be selected as a licensed user for Subscription Billing.
  2. You can also check the User Permission Sets to ensure that the necessary permission sets are added.

    If the users you want do not have a user card, create the user card. For more information, see the Microsoft Dynamics 365 Business Central documentation.

  3. Open the Licensed Users Setup page.
    • Full licensed users are added to the Licensed Users list.
    • Team member licensed users are added to the Team Member Licensed Users list.
  4. Under the licensed list you need, select Manage > New Line.
  5. Select the cell for the new user name, and from the Users dialog, select the user you want.
  6. Typically, the license type reflects what was purchased and assigned during the sales process. If something does not match expectations, contact your partner or SBS support team.
