Subscription Billing Basic Setup

After Subscription Billing is installed, perform the following setup activities. This base set of activities will help you get started with testing Subscription Billing in your test environment.

Set Up User Security

After you install Subscription Billing, only the system administrator role has full access to the program. To allow other users to access Subscription Billing, you must set up the appropriate duties to all non-administrator users.

The following Subscription Billing duties are available after installation.

Duty Name  Description 
SBSSubscription Billing - Full access Full access to all Subscription Billing functionality and pages.
SBS - View only Read-only access to all Subscription Billing pages.

User security is part of standard Microsoft Dynamics 365 for Finance and Operations functionality. For more information, see the Microsoft Dynamics 365 for Finance and Operations documentation: 

To set up the user security, do the following: 

  1. Select System administration > Security > Security configuration.
  2. Create a role.
  3. Assign the one of the available Subscription Billing duties to the role that you just created.
  4. Assign the role to all new Subscription Billing users.

For more control over the security, create security privileges and duties that are specific to the needs of your company.

Tip: To save time, for each module within Subscription Billing, create a role that contains all the duties for that specific module. For example, for Advanced Revenue & Expense Deferrals, create a role called ARED User that contains all the ARED duties. You can then assign the role to the individual users.

Generate Number Sequences

Before you can create any documents, you must set up the number sequences. Number sequences are part of the standard Microsoft Dynamics 365 for Finance and Operations setup. For more information, see the Microsoft Dynamics 365 for Finance and Operations documentation: 

To automatically generate number sequences, follow these steps: 

  1. Select Organization administration > Number sequences > Number sequences.
  2. Under the New group at the top, select Generate.
  3. Review the number sequences on the Subscription Billing Parameters page
  4. Review the number sequences Advanced Recurring Contract Billing Parameters and Advanced Revenue & Expense Deferrals Parameterspages.

Notes:

  • For a new installation of Subscription Billing and before setting up the Parameters page, ensure that you have generated the number sequence for Subscription Billing.
  • When upgrading to a newer version of Subscription Billing, new number sequences may be added for new features. As a best practice, make sure that you complete these steps so that any new number sequences are added.
  • Instead of automatically generating the number sequences, you can generate custom number sequences. When you set up custom number sequences, you must create and assign them manually for each company.

Automatic Number Sequences

To ensure that the number sequence you want to use is automatically applied and updated for new records, do the following: 

  1. Select Organization administration > Number sequences > Number sequences.
  2. Select the number sequence you want and go to the General FastTab.
  3. Set Manual to No and save the changes.

Manual Number Sequences

To allow user to enter a manual number sequence for the records, do the following: 

  1. Select Organization administration > Number sequences > Number sequences.
  2. Select the number sequence you want and go to the General FastTab.
  3. Set Manual to Yes and save the changes.

Set Up a Deferral Account

As a best practice, set up a default deferral account as follows:

  1. Select Advanced Revenue & Expense Deferrals > Deferral defaults.
  2. Select the Sales order tab and select the Deferred revenue option.
  3. Create a record and select the account you want to user for deferred revenue.
    For example, for Contoso, 250600 is an appropriate account.
