Use this page to extend a revenue or expense lease by adding a term. When term is added to a lease, the billing lines and meter reading lines are also updated with the new term dates.
You can also access this wizard from the Lease Details for adding subsequent terms after the first term.
Step 1: Select the lease
Complete the fields for selecting the lease that you want to extend. Select the Lease type, which determines which values are available from the Category name. If needed select the Customer/Vendor account and then select the Lease number.
Note: If this wizard was opened from the Lease Details, this step is automatically updated with the lease information and cannot be edited.

Select the lease type for which you want to process: Revenue or Expense. |
Category name |
Select the category for the lease. Required. |
Lessor | Displays the customer or vendor account for the lease. |
Lease number |
Select the lease number that you want to process. Required. |
Step 2: Select renewal terms
The terms for multiple lowest levels can be extended with different individual start and end dates. For each line you want to extend, be sure to select the Process check box. Only the selected lines are processed.
Tip: Select Mark all to quickly select all lines in the list for processing. Or select Unmark all to clear all lines, so that you can select individual lines for processing.

Term | |
Term type |
Select a term type. The available options are created on the Term Types tab of the Property Lease Management Parameters page. This value is used for reporting purposes only. |
Previous term end date |
Displays the term end date of the last lease term on the lease. If the lease does not have any terms, the end date is the rent commencement date. Read only. |
Extended term start date |
Displays the start date of the new term. The default date is the next date after the Previous term end date. The date can be changed as needed to any date after the previous term end date. If you change the date, you can roll it down to the date for all lines in the list that have a previous end date earlier than this date. If the previous end date is later than this date, the date on the line becomes blank and must be manually entered. |
Extended term end date |
Displays the term end date of the new term. The default value is blank. This date is updated based on the start date of the new term, and it rolls down to the date for all lines in the list. This date must be later than the Extended term start date. |
Lowest Level | |
Displays all lowest levels in the lease. The values for the lines that can be edited are the Process check box and the extended term start and end dates. | |
Process | Select the check box to indicate that the lease for the line is to be extended. |
Category name | Displays the category for the line. Read-only. |
Level 1, 2, 3 |
Displays the current lowest level combination of the line. Read-only. |
Leased area |
Displays the leased area for the line. Read-only. |
Start date | Displays the start date of the lowest level. Read-only. |
Previous end date | Displays the end date of the lowest level. Read-only. |
Extended term start date | Displays the start date of the new term. Required. This value is from the header, but can be changed as needed. However, it must be after the previous term end date. |
Extended term end date | Displays the end date of the new term. Required. This value is from the header, but can be changed as needed. |
Step 3: Review existing charges
In this step, you can edit or remove existing charges for each of the lowest levels that is selected for processing. This step shows lists for Units and Charges.
To view the charges for a lowest level, select a line from the Units list. The Charges list is updated with the corresponding charges for the selected lowest level.

Displays all the lowest levels that have been selected for processing. The values for the units cannot be changed. If you want to edit the terms or change which lowest levels to process, go Back to Step 2: Select renewal terms. Select a line to view the corresponding charges in the Charges list below. |

Displays all corresponding charges for the lowest level selected in the Units list. You can edit or remove charges as needed. All charges values are read-only except for the Amount. Edit the amount as needed. |

Displays the charge ID. |

Displays the item number. |

Displays the item name. |
Charge type | Displays the charge type. |
Frequency | Displays the billing frequency for the charge. |
Meter number |
Displays the meter number for the charge. Available for consumption charges only. |
Quantity | Displays the quantity for the item. |
Unit | Displays then unit of measure for the item. |
Amount | Displays the amount for a single unit of the item. |
Extended amount | Displays the extended amount for the item. |
Charge account | Displays the account for the charge. |
Site | Displays the site location for the item. |
Warehouse | Displays the warehouse location for the item. |
Location | Displays the location for the item. |
Period by period | Indicates whether the charge uses the period-by-period functionality. |
Lease component | Indicates whether the expense lease uses the lease accounting standard (e.g., ASC 842/IFRS 16). |
Separate invoice | Indicates whether charge lines are consolidated on the invoices. |
Previous end date |
Displays the end date of the last term on the lease for an existing charge. |
Extended start date |
Displays the extended start date of the charge. |
Extended end date |
Displays the extended end date of the charge. |
Charge Details | |
Financial Dimensions |
This area is for setting up the charge account and financial dimension values.
Select the main account number for the charge. This account is used for the invoice of the charge. You can change the account when applying a charge to a lease. Displays the default financial dimensions for the charge for the selected line, which can be changed as needed. Financial dimension is a standard Microsoft Dynamics 365 for Finance and Operations feature. For more information on using financial dimensions, see Financial Dimensions. When the financial dimension values are empty, the financial dimensions are from the lowest level, customer/vendor, or charge. |
Tax |
Displays the item sales tax group and sales tax group for the charge. The default item sales tax group and sales tax group are from the lowest level of the property.
The sales tax is a standard Microsoft Dynamics 365 for Finance and Operations features. For more information, see the Microsoft Dynamics 365 for Finance and Operations documentation. |
Step 4: Add charges and escalation
In this step, you can edit escalations for charges for each of the lowest levels selected for processing. This step shows lists for Units, Charges, and Escalation.
- To edit an escalation for a charge, select a line from the Units list, select a line from the Charges, and in Escalation, select Edit.

Item number | Displays the item attached to the charge. |
Name | Displays the item name. |
Charge type | Displays the charge type: Regular or Consumption. |
Frequency | Displays the billing frequency for lease charges. The options are: Monthly, Weekly, Quarterly, Annually, and One Time |
Meter number |
Displays the meter for the charge. This value appears for consumption charges only. |
Quantity | Displays the item quantity. |
Unit |
Displays the unit of measure used for item. |
Amount | Displays the amount for one item. |
Extended amount | Displays the calculated amount for the item. Read-only. The amount is calculated as follows: Quantity * Amount. |
Charge account |
Displays the main account number for the charge. This account is used for the invoice of the charge. You can change the account when applying a charge to a lease. |
Item sales tax group and Sales tax group |
Displays the item sales tax group and sales tax group for the charge. The default item sales tax group and sales tax group are from the lowest level of the property.

Charge recoverable type |
Displays the charge recoverable type.

Period by period |
Indicates whether the period-by-period functionality is used (for example, the invoices for a lease are month to month):

Lease component |
Displays whether the leased item uses the lease accounting standard (e.g., ASC 842/IFRS 16).

Separate invoice |
Displays whether to have the invoice line for the charge consolidated with other charges.

Previous end date |
Displays the end date of the last term on the lease for an existing charge. Read-only. For a newly added charge, this date is empty. |
Extended start date |
Displays the extended start date of the charge. The default value is from Step 2: Select renewal terms, but can be changed as needed. |
Extended end date |
Displays the extended end date of the charge. The default value is from Step 2: Select renewal terms, but can be changed as needed. |
Escalation | |
Displays all corresponding escalation lines for the lowest level-charge combination selected. It also displays a new escalation line for the extended start and end date. For charges that existed before the renewal, you cannot add or remove escalations. If needed, you can edit any of the values. For charges added in this wizard, an escalation line with zero escalation is automatically added and available for editing. Also, you can add and remove escalation lines as needed. For new charges, at least one escalation line is required. |

Charge number |
Displays the charge ID. |
Escalation date |
Displays the escalation start date. The default value is from the Extended start date of the charge. |
Term start date |
Specify the start date for the term. The default date is from Step 2: Select renewal terms. |
Term end date |
Specify the end date for the term. The default date is from Step 2: Select renewal terms. |
Escalation frequency | Select the frequency for the escalation. The options are: Monthly, Weekly, Quarterly, Annually, and One Time |
Type |
Select an increase option on which to base escalations:

Percent |
Specify a percent value to be used as the escalation. |
Amount |
Specify an amount to be used as the escalation. |
CPI schedule |
Select a CPI (Consumer Price Index) schedule. CPI schedules are created on the CPI Schedule window. If CPI escalation is selected, the percentage change for the charge is based on the percentage change between the CPI index values from the lease commencement date or the previous escalation date. CPI adjustments affect the revenue amount. The following formula gives you the percent change of the revenue amount: (Current CPI / Previous CPI value) - 1 |
Rate schedule |
Select a rate schedule. The first increase affects the entire amount of the schedule, further increases are incremental based on the amount affected. |
Step 5: Preview
Review the settings for the lease renewal.
All values in this step are read-only. To change any of the values go back to the step where you specified the values. If you are satisfied with the values as shown in the preview, select Next.
The lease will be renewed. When a lease is renewed, the following occurs:
- A new term is added to the lease based on settings from Step 2: Select renewal terms.
- Charges are updated based on settings from Step 3: Review existing charges.
- Escalations are updated based on settings from Step 4: Add charges and escalation .
Step 6: Complete
After the lease has been renewed, you can select the next action you want to perform:
- Renew lease: Restarts the wizard so you can renew a different lease.
- Finish: Closes the wizard.
After you finish the wizard, you can review the lease and charges on the Lease Details or the Billing Lines pages, and, if needed, make any changes.
If you opened the wizard from the Lease Details, the Finish button is the only available option.
