SBS ARCB Billing Schedule List

Use this page to create, delete, or edit billing schedules. You can also review a list of all billing schedules.

When you select to view a billing schedule, a separate page showing the details of the billing schedule.

When you create a billing schedule, the default values for the billing schedule are determined by the billing group associated with the billing schedule. Also, other default values are set up on the SBS ARCB Billing Schedule Setup form. You can change any of the default values as needed.

When you first open this page, no filters are applied to the data. Add filters to see only the data that you want.

To view the details for archived billing schedule records, use the SBS ARCB Billing Schedule Archives list.

Automatic Renewal

When Auto Renewed is set to Yes and specify the Lines to add per renewal, the billing schedule will automatically renew after invoices have been created for all detail lines.

For example, a billing schedule has the following settings: 

  • Auto Renewed is turned on
  • Lines to add per renewal is set to 6
  • Frequency is Monthly

After an invoice for the last detail line has been created, the billing schedule is automatically renewed with six more lines, one line for each month.

When a billing schedule is renewed, the default billing group used for renewal schedules are specified on the Renewal Schedule Group on the SBS ARCB Billing Schedule Setup page.

Add a Billing Schedule

To add a billing schedule, follow these steps:

  1. From the SBS ARCB Billing Schedule List, select New, the Billing Schedule Group List appears.
  2. Select a billing schedule group, and select OK.
  3. The SBS ARCB Billing Schedule Card page appears with some options already updated based on the settings from the billing schedule group. If needed, you can edit any option.

  4. In the Schedule FastTab, update the following as needed:
    1. If automatic numbering is setup, the billing schedule No. is automatically updated. If the billing schedule group does not use automatic numbering, specify the number.
    2. Select the Sell-to Customer No..
      The Customer Name and Sell-to address and contact information updates with the information from customer record. If needed, edit the address information.
    3. If needed, select the End User No. and the Billing Start Date.
    4. The Billing End Date is automatically updated based on the Frequency and Number of Periods specified.
    5. As needed, specify values for other options.
  5. In the Schedule Lines FastTab, add line items to the billing schedule.
  6. In the Schedule Details FastTab, specify the line details for a specific line item, such as currency code, payment terms and method, and other options.
  7. In the Shipping and Billing FastTab, select the shipping and billing information.
  8. If the billing schedule you create has a Pending Approval status, you must use the Activate Schedule action to change the status to Active so that you can process invoices.

Delete a Billing Schedule

To delete a billing schedule, follow these steps: 

  1. Select one or more lines that you want to delete, and select Delete.
  2. When you are asked to confirm the action, select Yes.

You can delete only one billing schedule at a time.

Terminate Billing Schedule

To terminate several billing schedules, use the SBS ARCB Billing Batch Termination Process.

To terminate a billing schedule, follow these steps: 

  1. From the SBS ARCB Billing Schedule List, select a line. Or from the SBS ARCB Billing Schedule Card edit a record.
  2. Select Actions > Termination > Terminate Schedule, which opens the SBS ARCB Billing Schedule Termination page.
  3. In the General FastTab, do the following:
    1. specify the Termination Date.
    2. Select the Reason Code and Reason Code Value.
    3. Specify a Termination Note.
  4. Select Actions > Termination > Terminate.
  5. When you are asked to confirm the action, select Yes.

To terminate a billing schedule and create a credit memo, follow these steps: 

  1. From the SBS ARCB Billing Schedule List, select a line. Or from the SBS ARCB Billing Schedule Card edit a record.
  2. Select Actions > Termination > Terminate Schedule.
  3. In the SBS ARCB Billing Schedule Termination page, specify the Termination Date and set Termination Type to Adjust Schedule.
  4. Select the Reason Code and Reason Code Value.
  5. Specify a Termination Note.
  6. Select Issue credit, and then do the following: 
    1. If you want to prorate the amount of the final invoice, select Prorate Daily.
    2. Select the Invoice Date.
    3. If the billing schedule has an associated deferral schedule, select the Deferral Adjustment Method.
  7. Select Actions > Credit Memo(s), and select Create Credit Memo(s), Post Credit Memo(s), or Post & Send.
  8. Select Actions > Termination > Terminate.
  9. When you are asked to confirm the action, select Yes.

To terminate a billing schedule and bill the remaining amount, follow these steps: 

  1. From the SBS ARCB Billing Schedule List, select a line. Or from the SBS ARCB Billing Schedule Card edit a record.
  2. Select Actions > Termination > Terminate Schedule.
  3. In the SBS ARCB Billing Schedule Termination page, specify the Termination Date and set Termination Type to Bill Remaining.
  4. Select the Reason Code and Reason Code Value.
  5. Specify a Termination Note.
  6. Select Actions > Termination > Terminate.
  7. When you are asked to confirm the action, select Yes.

Remove a termination

To remove a termination from a billing schedule, follow these steps: 

  1. From the SBS ARCB Billing Schedule List, select a line with the status Terminated.
  2. Select Actions > Termination > Remove Termination.
  3. When you are asked to confirm the action, select Yes.

View termination history

To view the termination history for the selected billing schedule, follow these steps: 

  1. Select the billing schedule from the list, and select Actions > History > Termination.
  2. On the SBS ARCB Billing Schedule Termination History, review the termination changes to the billing schedule.

Hold Billing Schedule

To put a hold on several billing schedules, use the SBS ARCB Billing Batch Hold Process.

To put a hold on a billing schedule, follow these steps: 

  1. From the SBS ARCB Billing Schedule List, select a line. Or from the SBS ARCB Billing Schedule Card edit a record.
  2. Select Actions > Hold Functions > Hold Schedule.
  3. On the SBS ARCB Billing Schedule Hold page, select the Reason Code and Reason Code Value.
  4. If needed, select Create Adjustment and in Enter Hold Date, specify the hold date.
  5. Select Actions > Process > Hold.
  6. When you are asked to confirm the action, select Yes.

To put a hold on a billing schedule line, follow these steps: 

  1. On the SBS ARCB Billing Schedule Card page, select one or more lines in the Schedule Lines FastTab.
  2. Select Hold > Hold .
  3. On the SBS ARCB Billing Schedule Hold page, select the Reason Code and Reason Code Value.
  4. If needed, select Create Adjustment and in Enter Hold Date, specify the hold date.
  5. Select Actions > Process > Hold.
  6. When you are asked to confirm the action, select Yes.

Remove a hold

To remove a hold from a billing schedule, follow these steps: 

  1. From the SBS ARCB Billing Schedule List, select a line with the status OnHold.
  2. Select Actions > Hold > Remove Hold Schedule.

View hold history

To view the hold history for the selected billing schedule, follow these steps: 

  1. Select the billing schedule from the list, and select Actions > History > Hold.
  2. On the SBS ARCB Billing Schedule Hold History page, review the hold changes to the billing schedule.
  3. When you are finished, select Close.

Copy a Schedule

To create a copy of the selected billing schedule, follow these steps: 

  1. Select the billing schedule from the list, and select Actions > Copy > Copy Schedule.
  2. On the SBS ARCB Billing Copy Schedule page, for the new billing schedule, specify a Description, and select a Customer.
  3. Select the start and end dates for the billing schedule.
    If you specify the number of periods, you can specify the start date and the end date automatically updates.
  4. Select Copy Process.
  5. When you return to the SBS ARCB Billing Schedule Card, the newly created billing schedule is available for editing.

Fields

This shows the following information: 

Field Description
List
No. Displays the billing schedule number.
Description Displays a description of the billing schedule.
Sell-To Customer No. Displays the customer account ID or number.
Customer Name Displays the customer name.
Start Date Displays the billing start date.
End Date Displays the billing end date.
Frequency Displays the billing frequency.
Schedule Status Displays the status of the billing schedule.
Auto-Renewed Displays whether the billing schedule has been automatically renewed.
No. Series Displays the prefix of the billing schedule number.
Next Invoice Date Displays the date on which the invoice for the next billing period of the billing schedule is to be created.
User Defined Fields

Displays the user defined fields for the header. Only the user-defined fields that are specified on the SBS ARCB Billing Schedule Setup page appear.

Billing Details
Displays the subtotals for the billing schedule that is selected in the list. The subtotals shown are the total outstanding, total already invoiced, and the sum of the outstanding and invoiced amounts, all excluding tax.

FactBox

The following Subscription Billing FactBoxes are available for the selected line item:

FactBox Description
Customer Statistics
Displays the customer statistics for the selected line. The following information is available: 
Customer No. Displays the customer number
Balance ($) Displays the payment amount that the customer owes for completed sales. This value is also known as the customer's balance.
Sales Displays the balances for outstanding sales orders, shipped but not invoiced orders, and outstanding invoices.
Payments Displays payments and refunds from the customer and the date of the last payment received.
Totals

Displays the totals for the customer: 

  • Total payment amount
  • Credit limit
  • Overdue amounts
  • Total sales turnover for the current fiscal year
  • Invoiced prepayment amounts
Customer Details
Displays the customer details, including customer number, contact details, credit limit, available credit amount, and payment terms code.

Actions

This page contains the following actions: 

Actions Description
Termination

Select an action to perform on the billing schedule: 

Terminate Schedule

Opens the SBS ARCB Billing Schedule Termination page, where you terminate the selected billing schedules. When you terminate a billing schedule, the status changes to Terminated.

Remove Termination Displays a dialog where you confirm that you want to remove the termination from the selected billing schedule. When you select Yes, the termination is removed, and the status changes to Active.
Hold
 

Select an action to perform on the billing schedule: 

Hold Schedule

Opens the SBS ARCB Billing Schedule Hold page, where you apply a hold to the selected billing schedule. When you put a hold on a billing schedule, the status changes to OnHold.

Remove Hold Displays a dialog where you confirm that you want to remove the hold from the selected billing schedule. When you select Yes, the hold is removed, and the status changes to Active.
Copy
Copy

Select Copy Schedule, which opens the SBS ARCB Billing Copy Schedule page, where you create a copy of the billing schedule that is currently displayed on this page.

History

Select an action to perform on the billing schedule: 

Termination Opens the SBS ARCB Billing Schedule Termination History page, where you review the termination history of the billing schedule.
Hold

Opens the SBS ARCB Billing Schedule Hold History page, where you review the hold history of the billing schedule.

Import/Export
 

Select an action to perform on the billing schedule: 

XML Files

Select to import data from or export data to an XML file. You can import or export the following data:

  • Billing schedule
  • Billing schedule price adjustment
  • Billing schedule usage items (import only)
  • Revenue Split Template (added from version 41.2 onwards)
CSV Files

Select to import data from or export data to an CSV file. You can import or export the following data:

  • Billing schedule headers
  • Billing schedule lines
  • Billing schedule line min-max free details
  • Billing schedule line deferral details
  • Billing schedule line MERA headers
  • Billing schedule line MERA details
  • Billing schedule price adjustment
  • Billing schedule usage items (import only)
Refresh API Data

Select an action to perform on the billing schedule: 

Refresh API Data Updates all data for the Power BI API. As a best practice, execute this action as part of a job queue that is scheduled at a frequency (e.g., hourly, daily, or weekly) suitable for your business needs.
Navigate

Select an action to perform on the billing schedule: 

Customer Opens the Customer Card for the customer attached to the billing schedule.
