PLM Lease Charges

Use this page to select the charges for the lowest level line of a lease.

  • If a category has no required levels, the charge is directly connected to the lease. The contents of this page appears as the Lease Charges FastTab on the PLM Lease page. These charges cannot be used in CAM calculations.
  • If a category has different levels, the charge is connected to the lowest level of the lease for the level combination selected in the Lease Line (Lowest Level) FastTabs.

The default values for the lines are from the PLM Charges setup. If needed, you can change the values for the charge for this lease.

A lease can have a combination of regular and meter (or consumption) charge types. Also, adding a CAM or sales-based charge is the same as adding a regular or meter charge.

Add Regular Charges

To add a regular charge for a lease, follow these steps: 

  1. In the Lease Line (Lowest Level) list of the PLM Lease page, select the lowest level to which you want add charges.
  2. Select Charges > Lease Charges to open the Lease Charges page.
  3. For each charge you add, do the following: 
    1. Select the charge Charge No. and check that the charge Type is Regular.
    2. Select the Frequency.
    3. Specify the Quantity and Amount.
    4. If needed, change any other values for the line.
  4. Repeat these steps to add more charges.

Add Meter (or Consumption) Charges

To add a meter (or consumption) charge for a lease, follow these steps: 

  1. In the Lease Line (Lowest Level) list, select the lowest level to which you want add charges.
  2. Select Charges > Lease Charges to open the Lease Charges page.
  3. For each charge you add, do the following: 
    1. Select the charge Charge No. and check that the charge Type is Consumption.
    2. Select the Frequency.
    3. Specify the Meter number, and set the Reading Type to Reading or Consumption.
    4. Select the Tax Group Code.
    5. If needed, change any other values for the line.
  4. Meters can be attached to only one lowest level (unit) at a time. In other words, if a meter number that you are looking for is not available, it must be already be attached to the lowest level in a different lease.

  5. Repeat these steps to add more charges.

You can edit a charge any time before the first invoice that uses the charge is created. Any updates to the frequency, quantity, or amount affects the corresponding billing line. To review the billing lines for the lease, select the Charge Details > Billing Details action.

After the invoice for a billing line of a charge has been created, only the account and the financial dimension for the charge line and Charge Details can be edited. All other settings for the charge line cannot be edited. Also, charges that are active and attached to a lease cannot be deleted.

Fields

The following field boxes are available:

Field Description
Charge No.

Select the charge.

Name Displays the charge name.
Type

Displays the charge type: 

  • CAM: The charge is used for common area maintenance (CAM) charges that are added to a revenue lease. For more information on CAM charges, see CAM Expense Calculations.
  • Consumption: The charge is a measured amount based on usage that is applied to a lease. For example, electricity charge.
  • Regular: The charge is a specified amount that is applied to a lease. For example, charging an amount of 200. 00.
  • Sales based: The charge is used for sales based reconciliation.

The charge type is set up on the PLM Charges page.

Frequency

Select a default billing frequency for lease charges. The options are: Monthly, Weekly, Bi-weekly, Quarterly, Annually, and One Time

Caution: Changing the setting for this option recreates meter reading lines on the Meter Readingspage. As a result, data for unprocessed lines will be lost.

Meter No.

Select the meter number attached to this .

Available and required when charge Type is Consumption.

Reading Type

Displays the meter reading type. Read-only.

  • Reading: Allows a user to manually enter the current reading value. The consumed amount is automatically calculated based on the current and previous meter readings.
  • Consumption: Allows a user to manually enter the consumption value. The current and previous meter reading values are automatically calculated based on the consumption amount.

The meter reading type is set up on the PLM Meters Setup page.

Quantity Specify the item quantity.
Unit of Measure Code Displays the unit of measure for the meter (for example, each).
Tax Group Code Select the sales tax group to use for the charge. The default item sales tax group is from the charge record.
Amount Displays the charge amount for the selected item. If needed, you can change the amount.
Extended Amount Displays the calculated charge amount for the line: Quantity * Amount.
Period By Period

Indicates whether the period-by-period functionality is used (for example, the invoices for a lease are month to month):

  • On: The period-by-period functionality is used. Invoices are created on a period-by-period basis, and lines are added based on the billing frequency of the lease.
  • Off: The period-by-period functionality is not used.

This feature does not work with the one-time billing frequency.

When Period By Period is set to No on header of the PLM Lease page, you cannot edit this check box. If it is set to Yes, you can select or clear this check box for the charge line. When period-by-period functionality is used, lines are added as follows: 

  • For a regular charge, a billing line is created based on the billing frequency and after the invoice for the last billing line on the Charge Details is created.
  • For a meter (or consumption) charge, a meter reading line is created based on the frequency after the last meter reading line is processed on the Meter Readings page.
Separate Invoice

Select whether to have the invoice line for the charge to be consolidated with other charges.

  • On: The charge is not consolidated and appears as a separate line on a separate invoice. This option is usually selected for charges such as sales based charges.
  • Off: The charge is consolidated with other lines on the invoice.
Status Displays the current status of the charge: Active or Terminated. Read-only.
Main Charge

Indicates whether the charge is the main charge for the lease.

  • Selected: The charge is a main charge for the lease. More than one charge can be selected as the main charge.
  • Cleared: The charge is a supplementary charge for the lease.

When this check box is selected, the amounts for the charge are included on the PLM Property Analysis Report.

Actions

The following actions are available:

Charge Details
Charge Details Opens the Charge Details page, where you specify price adjustments and abatements for a charge. Also, you can review the billing details for the charge.
Accrual Lines Opens the PLM Accruals window. This action is available only for Non-Component Regular Charges and Regular Charges.
SBS Options > Advanced Deferral

Opens the SBS ARED Transactions page where you can enter settings for deferring a lease charge. The data you enter on the SBS ARED Transactions page is used to create ARED schedules during the invoicing process.

SBS Options is only available if you have installed ARED. See Integration with SBS ARED.

Charges Components Opens a dialog where you specify the charge components accounts used for the lease accounting standard.
Sales-Based Settings Opens the PLM Sales-Based Charge Details page for the charge. On this page, you can edit the settings for the sales-based charge. The default sales reporting number is from the PLM Property Lease Management Setup, and all other default values are from the PLM Sales Based Charge Setup. The default values can be changed as needed.
Lease Sales Reporting Opens the PLM Sales Reporting page for the charge.
Termination Opens the PLM Batch Termination/Reverse Termination , where you terminate the lease.
Reverse Termination Reverses the termination of the lease currently displayed on the pagepage.
Termination History Opens the Termination History page.
Dimensions Opens a dialog where you can review and edit the dimension values for the property and customer or vendor records. Dimension values from PLM have priority over the dimension values for the customer, vendor, or item record.
Open in Excel/Edit in Excel Select to download an Excel file which displays information about the lease charge. For more information about using Excel in Business Central, see Viewing and Editing in Excel From Business Central.
